Choose the PDF for the recipient

Before scanning, decide what the PDF must do. A simple image PDF may be enough for a signed form. An archive or long report benefits from searchable text. A portal with a strict upload limit may require compression.

This decision affects capture quality and export. Heavy compression can make tiny characters hard to read, while full-color high-resolution pages can create an unnecessarily large file.

Keep a multi-page scan coherent

Use consistent lighting and orientation. Scan all pages in one session when possible, review thumbnails, and make sure reverse sides or attachments are not missing.

DocSnap lets you reorder pages before export and add a searchable OCR layer. If the finished file exceeds a portal limit, compress a copy and inspect it at normal reading size before uploading.

  • Confirm page count against the paper original
  • Rotate sideways pages before export
  • Put appendices and attachments in their intended order
  • Name the PDF for its purpose, not only the scan date

How it works

  1. 1

    Prepare the stack

Remove clips, flatten pages, and place them in order.

  2. 2

    Capture every page

Use multi-page scanning and keep lighting consistent.

  3. 3

    Review and recognize

Correct crops, run OCR, and verify critical text.

  4. 4

    Export and test

Create the PDF, open it, search it if applicable, and confirm its size.
