Choose the simplest tool that meets the task

If you only need to send one clear page, Apple's built-in scanner may be enough. A dedicated document app becomes useful when you need repeatable multi-page capture, searchable text, a document library, or PDF operations after scanning.

Decide whether the recipient needs an image, an ordinary PDF, or a searchable PDF. Also check whether an upload portal has a page-count or file-size limit before you start.

Prepare the page and camera

Put the paper on a flat surface with visible contrast around all four edges. Use diffuse light from the side or above, not a lamp that creates a bright reflection. Hold the iPhone parallel to the page so correction has less work to do.

  • Flatten folds, curled corners, and book spines as much as practical
  • Move fingers, cables, and unrelated papers outside the frame
  • Clean the camera lens when text looks hazy
  • Use color when stamps, highlights, or colored ink matter

Capture and review before moving on

    Wait for automatic edge detection or adjust the crop manually.

    Zoom into the smallest print and check for blur, glare, and clipped corners.

    Keep lighting and orientation consistent across the document.

    Use thumbnails to catch pages scanned out of sequence or sideways.

Export, then open the exported file

A successful export message is not proof that the document is ready. Open the resulting PDF, confirm the first and last page, search for a distinctive phrase if it should be searchable, and check its size.

For forms, contracts, identity records, or payment documents, compare critical names and numbers with the paper. OCR is helpful but can misread characters.
